At a glance
| Unit to report | Jobs. Quotes and invoices are counted alongside if you have them handy, but jobs is the number the intake wants. |
| Where the count lives | Reports, then View Reports, then Jobs, then Job Activity. Set the date range wide and click Search; the report lists every job with activity in the range and downloads as CSV. |
| Typical years retained | Simpro keeps the build's history while the subscription runs. The earliest job date in a wide Job Activity search is your start year. |
| What usually makes it valuable | Job costing linked to the quote it came from: estimated versus actual labour and materials, variations, purchase orders and supplier invoices against the job, and the schedule that delivered it. |
| What stays private | Customer, site, supplier and contractor card files. Employee identities and pay rates. Customer contract documents held under their terms. |

Where the count lives
Nothing needs exporting. One report answers it.
- Sign in with a user whose security group can run reports. Check in your version: report access is set per security group under System setup.
- Go to Reports, then View Reports, then Jobs, then Job Activity.
- Set the Date Range to start in the year you went live on Simpro and end today. Leave the other filters open. Choose all jobs in the range rather than only those not fully invoiced.
- Click Search. The report lists one row per job. Read the row count on screen, or use the download icon at the top right, choose CSV, and read the row count in a spreadsheet.
- Sort by date. The earliest job is your start year. Many builds number jobs sequentially; if yours does, the latest job number is a quick ceiling on lifetime job volume.
Quote and invoice counts come from the matching reports under View Reports if you want them, but the intake only needs jobs.
What to put in the intake
| Field | What to enter | Example |
|---|---|---|
| Volume | Jobs from the Job Activity report, rounded. | About 22,000 jobs |
| Years covered | Go-live year to now, and what you ran before (another platform or paper) if the history was not migrated. | 2016 to now, continuous |
| Estimate | Tick it if the number is read off a job number or rounded. | Ticked |
Estimates are fine. If the report is slow over a long range, run one financial year, multiply by the years, and tick the box.
Why buyers value it
Simpro is unusual in holding the estimate and the actual side by side. Every job that came from a quote carries the labour and materials that were priced, then the timesheets, purchase orders and supplier invoices that were booked against it, so a buyer sees thousands of examples of how a skilled estimator priced work and how reality landed. Variations record what changed mid-job and why. Schedules show how a dispatcher allocated technicians across sites and how often that plan held. Project jobs with stages and progress claims add the shape of larger contract work. Asset and maintenance histories, where used, tie recurring service to the equipment behind it. This is exactly the kind of structured operational reasoning that models cannot learn from public text.
What stays private
- Customer, site, supplier and contractor card files are de-identified: names, ABNs, addresses, contact details and bank details are irreversibly removed, with each removal written to the audit ledger. Site addresses are treated as identifiers.
- Employee identities and pay rates on timesheets and schedules are replaced with role labels; cost figures stay, names and rates do not.
- Customer contracts, drawings and documents attached to jobs under the customer's own terms are excluded at extraction, as is any purchased or licensed content such as supplier catalogues.
- Buyers receive a prepared, de-identified copy under licence, never a login to Simpro and never the raw export. The Trust and Security pages cover the full process.
If you want to export the full history
Only after an offer is accepted. Until then the intake runs on the counts you type in. In most engagements we connect read-only with your signature and you export nothing. These are Simpro's documented routes if you would rather hand over files.
- Any generated report downloads as CSV from the download icon at the top right. Run Job Activity, Job Completion and the quote and invoice reports over the full date range, one financial year at a time if the range is large.
- Card-file data exports from Utilities, then Export, as CSV or text files; sites and assets have their own export pages there, with custom fields included on request. Check in your version for which record types your build can export.
- Enterprise builds add BI Reporting for custom extracts. Simpro also has a documented API, which is the route we use for a read-only connection.
